You Booked the Studio. Then You Lost It. Here's Why.

You found the perfect studio and the perfect time — and then lost it. The five most common booking mistakes in Vienna, and how to make sure your studio is really yours.

Every week, someone books a studio, closes the payment window — and later finds out the room went to someone else. Here's how not to be that person.

Mistake 1: Not Finishing the Payment

This is the big one. At the Wiener Ballettakademie, a studio is only reserved once the payment is completed. Fill in the form, close the payment page — and the time slot stays open for others. If it happens, you'll get an email with a payment link, but there's no guarantee the slot is still free when you return.

Mistake 2: Entering the Wrong Number of People

The price includes up to 10 participants, with €5 per extra person per hour. Enter the real number so you're not surprised — and so we know the room is suitable.

Mistake 3: Forgetting Setup and Pack-Up Time

Speakers, mats, lights, costumes. If your class is 60 minutes but you need 15 minutes before and after, book the extra hour.

Mistake 4: Waiting for the "Perfect" Moment

Weekday evenings and weekends fill quickly, especially before show and audition season. When you see your slot free in the calendar, book it.

Mistake 5: Choosing the Wrong Studio

Big crew in a small room, or a small Pilates group in a 100 m² hall. Quick rule: 55 m² for private and small groups, 90 m² for most classes, 100 m² for large moving groups.

The 4-Step Booking That Always Works

  1. Open the availability calendar and choose studio, date and hours.
  2. Enter your name, email and the correct number of participants.
  3. Click "Pay & Confirm" and complete the card payment.
  4. Check your inbox for the confirmation and invoice — now the studio is yours.

Mistake 6: Neglecting the Location and Transit Time

Vienna is well-connected, but don’t underestimate the time it takes to walk from the station to our doorstep at Längenfeldgasse 27. While we are only five minutes on foot from the Längenfeldgasse hub where the U4 and U6 lines meet, you still need to factor in your arrival time at the building. If you are hauling large costume bags or bulky equipment, add an extra ten minutes of buffer time to your schedule to ensure you aren't rushing.

We are also easily accessible via tram 62 and the Badner Bahn (WLB). Check the Wiener Linien app before your session to see if there are any planned maintenance works on these lines, as transit delays are the most common reason for dancers missing the first fifteen minutes of their booked time. Remember, your booking window is fixed, so if you are running late, that time is still deducted from your paid slot.

Mistake 7: Ignoring the Discount Options

Many of our regular renters miss out on the 10% discount because they don't know it exists. If you are filming a dance project, a rehearsal, or a workshop, you may be eligible for a 10% reduction on your total booking price. The only condition is that you agree to let the academy use a selection of the footage or photography from your session for our own promotional purposes.

If you are planning a high-quality video shoot or a professional-looking workshop, this is a fantastic way to lower your overheads. Just make sure to mention this intention during the booking process or contact our team beforehand to coordinate. It’s an easy way to save on your studio costs while helping us showcase our space to the wider Viennese dance community.

Mistake 8: Misunderstanding the Capacity and Price Structure

Every one of our five studios—from the compact 55 m² room to our two 100 m² halls—includes space for up to 10 participants in the standard hourly rate. We see many renters assume that the price increases automatically based on the size of the room, but the base price is actually linked to the specific hall you choose, regardless of whether you are alone or with a group of ten.

  • Studio 5 (55 m²): €20 per hour.
  • Studios 2 & 3 (90 m²): €25 per hour.
  • Studio 1 & 4 (100 m²): €30 per hour.

For any group exceeding 10 people, a surcharge of €5 per additional person per hour applies. Transparency is key here: if you arrive with 15 dancers but only declared 10, it can lead to an uncomfortable situation. By declaring the correct head-count upfront, you ensure we can allocate the right room and that your check-in process is seamless.

Mistake 9: Overlooking Half-Day or Full-Day Savings

If you are planning an intensive workshop, a full-day rehearsal block, or a weekend seminar, booking hour-by-hour is not your only option. We offer specific structures for half-day (4 hours) and full-day (8 hours) bookings. These are often easier to manage logistically and allow for a more consistent flow for your participants.

Because we have no special surcharges for weekends, evenings, or public holidays, you don’t need to worry about "peak time" pricing. Whether you book on a Tuesday morning at 07:00 or a Sunday evening before 22:00, the rate remains constant. If you find your project requires more time than expected, check the calendar to see if a four-hour block is available rather than stringing together multiple separate hours, which helps keep your scheduling organized and often simplifies your invoice records.

Mistake 10: Assuming You Need to Bring Everything

Before you pack your own portable ballet barres or heavy audio equipment, remember that our facilities are fully equipped for daily use by our own academy students. Every single studio comes with a full-wall mirror, fixed and portable ballet barres, and an integrated sound system. All rooms are climate-controlled, meaning you don't have to worry about the temperature during intense practice sessions.

We provide access to changing rooms so your participants can arrive ready to move. By utilizing the equipment already present in the halls, you save yourself the physical burden of transport and the risk of damaging your own gear. If you have specific needs for your sound system, such as a particular connector or cable for a device, bringing your own auxiliary adapter is always a good idea, but the basics are already there, waiting for your arrival.

We split the cost across eight dancers and it still came out cheaper than our old place.
